How to Import from China — Air, Sea & Rail Freight, Customs and Container Costs

Practical guide to importing from China for e-commerce businesses and SMEs. How to choose between sea, air and rail freight, LCL vs. FCL container costs, customs clearance and which tools to use.

Importing goods from China and not sure whether to choose sea, air or rail? How much does an LCL pallet cost compared to a full container? And when does customs clearance become expensive? This guide gives you concrete numbers and a clear process — no filler.

1. Three ways to import from China

The choice of transport mode depends on shipment volume and how quickly you need the goods.

Air freight (air cargo)

Best for shipments up to about 100–200 kg where speed outweighs cost. Typical parameters:

  • Price: 5–8 USD/kg (all-in, including surcharges); in peak season (Q4) up to 10–12 USD/kg
  • Transit: 5–8 working days Shanghai/Guangzhou → European hub airports
  • Minimum: usually 45–100 kg
  • Customs clearance: fast, 1–2 days at the destination airport

Air freight makes sense for high-value-per-kg goods (electronics, fashion accessories) or when you have an urgent need — seasonal collections, stock replenishment before a sale.

Sea LCL (Less than Container Load)

LCL means you share a container with other shippers. Suitable for volumes of 1–15 m³:

  • Price: 150–300 USD/m³ (port-to-port), plus surcharges for port handling, customs clearance and local delivery
  • Transit: 30–40 days (Shanghai/Ningbo → Hamburg/Rotterdam → destination)
  • Minimum: typically 0.5–1 m³ or 300 kg
  • When to use: regular imports where volume is not yet enough for a full container

FCL container (Full Container Load)

FCL means you rent the entire container. Makes sense from around 15–20 m³ of goods:

  • 20’ container: approx. $1,300–2,000 port-to-port (excluding surcharges and local delivery)
  • 40’ container: approx. $1,800–2,800
  • 40’HC (High Cube): $100–200 more than 40’
  • Transit: 25–35 days (China → Hamburg/Rotterdam)
  • 20’ capacity: ~28 m³ / ~22,000 kg payload
  • 40’ capacity: ~58 m³ / ~26,000 kg

Rail freight

China–Europe via the Iron Silk Road (through Kazakhstan, Russia or Central Asia). A relevant alternative to sea:

  • Transit: 15–18 days (approximately 2× faster than sea)
  • Price: sits between air and sea freight
  • When to use: goods you don’t want to fly, but can’t wait 35 days for a ship

2. Customs duty and VAT — what you pay on top

Every import from China is subject to customs clearance. Key rules applicable in the EU:

  • VAT: applies from the first euro — no minimum threshold (since 1 July 2021)
  • Customs duty: applies from €150 shipment value; below €150 the duty rate is 0%
  • Duty rate — clothing and footwear: ~10–12%
  • Duty rate — electronics (phones, laptops): 0–4%
  • Duty rate — toys: 0–4.7%
  • Duty rate — furniture: 0–5.7%
  • Duty rate — textiles: 6–12%
  • VAT calculation base: goods value + freight + customs duty

3. Required documents for import

For customs clearance of a shipment from China you need:

  • Commercial Invoice — in English, with an exact description of goods, quantity, unit price and total value
  • Packing List — list of package contents with weight and dimensions
  • Bill of Lading (B/L) for sea freight, or Air Waybill (AWB) for air
  • HS code on each item (the Chinese exporter must include it)
  • For shipments over €1,000: Proforma invoice or customs value declaration
  • EORI number — required to import into the EU as a business

4. How to compare freight rates

5. Common mistakes on the first China import

  • Undervalued invoice — customs authorities use market price databases; an unrealistically low invoice will stop the shipment and trigger a fine
  • Wrong HS code — incorrect goods classification leads to the wrong duty rate or clearance delays
  • Missing EORI number — you need an EORI number to import into the EU; without it the shipment gets stuck at customs
  • Ignoring Incoterms — who pays freight, duty and insurance? EXW, FOB, CIF, DDP — each term transfers different risks
  • Seasonal spikes — Q4 (pre-Christmas) and Chinese New Year are the most expensive and slowest periods
